From draft to learner

ForManagersAdmins

New training has three stages: you build a draft, you publish it, and you assign it. This page tells what learners see at each stage, which notifications they get, and what changes when you edit a published pathway.

Publish and assign are two different actions

Section titled “Publish and assign are two different actions”

When you publish a pathway, you tell Arcade that it is ready. When you assign it, you tell Arcade who must do it. A learner sees a pathway on the Train tab only after you do both, in either order.

A pathway and each of its interactions have their own status: Draft or Published. Learners see only the published interactions of a published pathway, and their progress counts only those interactions. An interaction that you add starts as a draft, also in a published pathway.

The Publish Pathway dialog also publishes the draft interactions that stay selected. By default, all are selected. If your organization does not have content publishing, Publish is not available. Your Arcade customer success manager can turn it on.

An assignment is a rule, not a fixed list of names. When the people on a team change, the people who have the pathway also change:

  • Everyone in the organization also includes people who join the organization later. Only Company Managers and higher roles have this option.
  • Everyone on my teams and Specific Teams include the members of the teams and of their sub-teams. A person who joins one of these teams gets the pathway.
  • Specific Users does not change when teams change.

A Team Manager or a Team Admin can assign only the teams and the people that they manage. When they save, Arcade keeps the assignments of other managers.

An assigned, published pathway shows on the Train tab of the learner, with its published interactions in order. The learner does them one after the other. A pathway with a prerequisite shows as UPCOMING, with a lock, until the learner completes the prerequisite.

When you save an assignment, Arcade sends New training available to each person that the assignment adds. Arcade sends it only if you published the pathway before the save. Each person gets it only one time for each pathway. The notification shows in the notification center and as a push notification on the mobile app, not by email. When you publish a pathway, Arcade does not send a notification.

If a learner does not complete the pathway, Arcade can send two reminders. Required training is waiting comes 3 days after the assignment, and Finish your required training comes after 7 days. Arcade sends a maximum of one reminder each day, at the time when the learner usually uses Arcade. The reminders stop when the learner completes the pathway or when you unpublish it.

Change a pathway that learners already have

Section titled “Change a pathway that learners already have”

You do not need to publish a pathway again after a change. Learners see most changes when you save them.

  • Edit a published interaction: learners see the new content, and their completions stay.
  • Publish a new interaction: a learner who completed the pathway must also complete the new interaction. Until then, the pathway is not complete for that learner, and a pathway that has it as a prerequisite can lock again.
  • Refine with AI: when you apply the changes to a published pathway, Arcade immediately publishes the interactions that AI adds. The interactions that AI removes leave the pathway.
  • Unpublish the pathway: the pathway leaves the Train tab of all learners, but the assignments stay. When you publish it again, learners get it back with their progress.
  • Remove people from the assignment: the pathway leaves their Train tab, unless a different assignment also gives it to them.

Publish the pathway with the interactions that are ready, then assign it, so that learners get New training available. If you assign a draft first, learners get no notification when you publish it. The reminder days also count from the assignment, so a reminder can come soon after you publish.

If the pathway has a prerequisite, assign the prerequisite pathway to the same people. Without the prerequisite, the pathway stays locked for them.

  • A pathway assignment has no due date. For a learner who first signs in to Arcade after the assignment, the reminder days count from that sign-in.
  • When you save an assignment again, the reminder days can start again from that save. A learner does not get the same reminder two times.
  • People who join an assigned team or the organization later get the pathway, but not New training available.
  • When you assign a pathway to yourself, you do not get New training available.
  • Arcade sends reminders only to learners who get push notifications from the mobile app.
