Roles and permissions

ForManagersAdmins

Each person in Arcade has one role. The role decides what the person can do in Manage, and the teams that the person manages decide which people they can act on. For the tabs that each role sees, refer to Roles and access.

Each role can also do all that the lower roles can do.

Role What the role can do
Learner Trains, plays games, and gets rewards. A Learner cannot open Manage.
Team Ambassador The same as a Learner. A Team Ambassador cannot open Manage.
Team Manager Manages the Learners on the teams that they manage: their training, their coaching, their games, and their accounts.
Team Admin Also manages the Team Managers on those teams. Changes roles, chooses the managers of teams, and removes tokens from a person.
Company Manager Manages all the people and all the teams of the organization. By default, a Company Manager also posts to the company feed and removes the posts and comments of other people.
Champion Manages all the people and all the teams. A Champion also sees the ADMIN and AI CREDITS sections of Manage: the settings of the organization and the purchase of AI credits.

CSM and Admin are roles for the staff of Arcade. In some organizations, Team Managers and Team Admins cannot edit training content.

The people and teams that each role manages

Section titled “The people and teams that each role manages”
  • A Company Manager or a Champion manages all the people and all the teams of the organization.
  • A Team Manager or a Team Admin manages only the teams in their Team Management field. The role does not give teams, and membership of a team does not make a person its manager.
  • On those teams, a Team Manager manages the people with the Learner role. A Team Admin also manages the Team Managers.

So a Team Manager does not see the Team Ambassadors, the Team Admins, or the other Team Managers of their teams. In the details of a team, you can act only on a person whose role is lower than your role.

In the Edit Profile form of the person, select the new Role. For a Team Manager or a Team Admin, also select the teams that they manage in Team Management.

You can give only a role lower than your own role. A Champion can give each role up to Champion.

You cannot change the role of a person who did not verify their email address. Ask the person to verify it from the banner at the top of their Home page.

You can also verify the address for the person: select Verify Email in the banner of their Edit Profile page.

Some managers must see only their own stores, for example an owner or an area manager. Do these steps:

  1. Give the person the Team Manager role. If they must also manage the Team Managers of their stores, give them the Team Admin role.
  2. Make them a manager of each of their store teams. Use Team Management in their Edit Profile form, or Add manager… in the details of each team. Refer to Choose the managers of a team.

Arcade also makes the person a member of each of these teams, so they get the pathways that you assign to the teams. Do not give this person the Company Manager role. A Company Manager sees all the people of the organization.

  • When you change a person to the Learner role, Arcade removes their monthly token budget. When you change a person to the Champion role, their budget becomes the full company balance.
  • When a manager becomes a Learner, Arcade keeps them as a manager of their teams. To stop this, select Remove as team manager in the details of each team.
  • Only people with the Learner role get the automatic lock after 90 days without a sign-in. Refer to Lock or unlock an account.
