Add and manage people

ForManagersAdmins

Use Manage to add people to Arcade and to keep their accounts correct. Go to ManageLearners.

You see only the people that you manage. For a Team Manager, these are the Learners on the teams that they manage. Refer to The people and teams that each role manages.

Use the email address that your HR system or your sales system has for the person. Enter their employee ID as the company identifier. A sync of people from a different system matches people by email address or employee ID. A different address can give one person two accounts.

On the Learners page, select Invite.

Arcade gives the new person the Learner role and sends them an email with a link to sign in. To give them a different role or teams to manage, change their role.

If the email address already has an account in your organization, unlock or edit that account. Do not invite the person again. For an address that a different organization uses, the invitation works only when that account is locked for 14 days or more. In other cases, contact Arcade support.

Go to ManageLearners, then select the name of the person.

For Role and Team Management in the Edit Profile form, refer to Change the role of a person.

Lock an account when a person leaves your organization. A locked person cannot sign in. Arcade keeps the person and their history, but it signs them out, stops their emails, and removes them from their active and upcoming games.

To lock or unlock an account, change the Status switch in the Edit Profile form. An unlock adds the person again to the active and upcoming games that include them.

Arcade also locks some accounts without a manager:

  • A Learner who did not sign in for 90 days, after reminder emails. After an unlock, Arcade waits 90 days before it does this again.
  • A Learner who never signed in, 90 days after Arcade made the account.
  • A person that a sync from a different system locked. The sync can also unlock people, so it can undo your change.

When one person has two accounts, for example with a personal and a work email address, merge the duplicate account into the account to keep.

On the Edit Profile page of the duplicate account, select Merge Users in the ⋯ menu.

Arcade moves the tokens, the teams, the sales, and the active games of the duplicate account to the account that you keep. Then it locks the duplicate account. The person signs in with the email address of the account that you keep.

You can remove only the tokens that the person earned in the last 30 days.

On the Edit Profile page of the person, select Clawback Tokens in the ⋯ menu.
